Frequently Asked Questions

Everything you need to know about our weekly compliance monitoring service

About Our Service

What exactly do I get with FleetGuard Compliance?+

Weekly RAG Reports: Every Monday, you receive a simple Red/Amber/Green compliance report showing exactly what needs attention across your entire fleet.

Automated Alerts: Email reminders sent 30, 14, and 7 days before any deadline expires (MOTs, tax, insurance, driver licenses, tacho calibrations, etc.)

Expert Review: CPC-qualified transport professionals review your data weekly and flag any risks or issues.

Compliance Score: One number showing your overall fleet compliance percentage, so you always know where you stand.

What does RAG mean?+

RAG stands for Red/Amber/Green, a traffic light system that makes compliance simple to understand:

🔴 RED: Urgent action required, expires in 14 days or less
🟡 AMBER: Attention needed soon, expires in 15-30 days
🟢 GREEN: All compliant, no action needed

Each week, you'll see exactly what's red, amber, and green across all your vehicles and drivers.

What do you track for me?+

For every vehicle: MOT expiry, tax renewal, insurance expiry, service due dates, tachograph calibration, safety inspections, defect reports.

For every driver: Driver license expiry, CPC card expiry, tacho card expiry, medical certificates, driver hours compliance, infringement tracking.

We track everything that could put your O-License at risk.

Do you send WhatsApp alerts as well as email?+

Yes. In addition to email reminders, we can send compliance alerts via WhatsApp — so urgent RED items reach you instantly, even if you're away from your inbox.

WhatsApp alerts are included in all plans. Just let us know your preferred number during onboarding.

What happens when I change an inspection date or book a new MOT?+

Just let us know — by email, phone, or WhatsApp — and we update your compliance tracker immediately. The entire schedule recalibrates automatically from the new date.

We call this "Date Drift" handling. It means your RAG report always reflects reality, not just a static snapshot. No manual spreadsheet updates, no risk of old dates causing false alarms.

Getting Started

What information do I need to provide?+

Just your basic fleet data: vehicle registrations, MOT dates, service schedules, driver license details, insurance expiry dates, and tacho calibration dates.

You provide this once during onboarding, and we track everything from there. When dates change (after an MOT, for example), you let us know and we update the system.

How quickly can I get started?+

Most clients are fully set up within 24-48 hours. We have a quick onboarding call (about 15 minutes), you share your data, and we start monitoring immediately.

Your first RAG report will be delivered on the following Monday.

Regulatory Questions

Are you a Transport Manager?+

No. FleetGuard Compliance provides compliance monitoring and assurance, not Transport Manager services.

As a restricted license holder, you're responsible for your own compliance. We help you stay on top of everything by tracking deadlines, sending reminders, and flagging risks, but you make the decisions and take the actions.

See our Regulatory Position Statement for full details.

Do restricted license holders need a Transport Manager?+

No. Restricted O-License holders are NOT required to have a Transport Manager. The operator themselves is responsible for compliance.

Our service helps you fulfill that responsibility by tracking everything and alerting you before deadlines, without the cost of hiring a full TM (£40k to £60k per year) or external TM (£600 to £1,600 per month).

DVSA & Legislation

What are the DVSA changes coming in 2026, and how does FleetGuard help?+

From March 2026, DVSA is rolling out AI-powered enforcement and digital surveillance tools across the UK. This means increased roadside checks, smarter targeting of non-compliant operators, and less room for error.

For restricted operators — who are already responsible for their own compliance without a Transport Manager — this raises the stakes significantly. A missed MOT or expired driver licence is no longer just a paperwork issue; it can trigger a DVSA investigation and put your O-Licence at risk.

FleetGuard Compliance exists specifically to protect you from this. Our weekly RAG reports and automated alerts mean you're always ahead of deadlines — and always ready if DVSA comes knocking.

Pricing & Payments

Are there any setup fees?+

No setup fees. No hidden costs. Just the monthly subscription price for your tier (Starter £199, Professional £249, Premium £349).

Can I cancel anytime?+

Yes. We offer monthly rolling contracts with 30 days' notice to cancel. No long-term lock-ins.

What if I have more than 10 vehicles?+

Our service is specifically designed for restricted O-License operators with 1 to 10 vehicles. If you have more than 10 vehicles, you likely have a standard license and may need different support.

Contact us and we can discuss your specific situation or recommend appropriate alternatives.
